Secretary Tip 101: How to learn how to be a User Group Secretary
Friday, July 27th, 2007The overall rule is for a Secretary to think like a historian when you create a written record of some event. The historian would want the documentation to be thorough, but yet concise, and just as important, crystal clear. Draft it, edit it, don’t look at it for a day, and then read and edit it one more time before releasing it.
To answer your question, the first place to look is the rules under which your User Group is governed. For many groups including the FACUG it is the By-Laws and our Secretary part is below:
7.6 Secretary: The Secretary shall:
7.6.1 Minutes: Keep the minutes of the member groups’ and Board meetings in one or more books provided for that purpose
7.6.2 Notices: See that all notices are duly given in accordance with the provisions of these Bylaws or as required by law;
7.6.3 Custodian: Be custodian of the corporate records of the Corporation;
7.6.4 Register: Keep a register of the post office address of each member group and its designated representative to the Corporation as furnished to the Secretary by each member group;
7.6.5 Transfer Books: Have general charge of the membership list of the Corporation; and
7.6.6 Other Duties: In general perform all duties incident to the office of Secretary and such other duties as from time to time may be assigned to him or her by the President or by the Board.
The second place is to ask the previous Secretary what he and she actually did.
The third place is to ask the other officers like the President and Vice President what they expect from the Secretary.
The fourth place to look is everywhere else. When our country was created in the 18th century, there was no computer, internet, telephone and a lot of other things but the rules under which we are governed today has evolved over time to include 21st century life. In a similar way you should keep your eyes and ears open to find new ways that you as Secretary can help your User Group.
